Front End Coordinator

DEFINITION:

The Front End Coordinator is an individual who prepares and submits requests to insurance for appropriate authorizations (electronic or paper) ensures that that cases are staffed based on the appropriateness of the case to be rendered by a qualified representative of the agency.


LINE OF AUTHORITY:

Reports directly to the DON.


QUALIFICATIONS:
  • Graduate of an accredited high school, or equivalent. Individual experience may be considered in lieu of this requirement. Training or experience in medical billing preferred.
  • Ability to successfully interact with people in face to face situations as well as by telephone.
  • Ability to organize work procedures, assume responsibility and present a positive image to the community.
  • Problem solving abilities and positive interpersonal communication skills are essential.
  • Must be self-motivated.
  • Must possess clerical skills, i.e., writing, filing, typing, and the ability to be trained in billing process for all pay sources.
  • Minimum of 17 years of age.
  • Demonstrates good personal grooming and health habits.
  • Must have reliable transportation.

DUTIES:
  • Coordinates visit schedule for all staff.
  • Reconciles schedules with clinical itinerary records.
  • Files medical and employee records, types, maintains inventory, and orders supplies.
  • Prepares employee packets and patient admission materials
  • Takes employment applications, ensures that employee applications are completed correctly.
  • Assists with payroll preparation.
  • Participates in community activities as directed.
  • Maintains neat, clean work environment.
  • Maintains confidentiality of patient and agency matters.
  • Prepares and submits the RAP for patients with primary pay source of Medicare.
  • Interprets reports from F/I regarding billing and payments.
  • Prepares and submits billing to various pay sources for all services provided by the agency.
  • Reconciles R/A with items billed.
  • Participates in community activities as directed.
  • Maintains neat, clean work environment.
  • Maintains confidentiality of patient and agency matters.
  • Performs other duties as assigned.
  • Clerical proof of final bills.
  • Reconciles billing with schedules, corrects completed client service report.
  • Answers phones.
  • Enters data relative to new admissions, to include Plan of Care forms, OASIS entry and transmission.
  • Interprets reports relative to OASIS transmissions.
  • Generates reports as requested by agency administration.
  • Enters data to generate payroll.
  • Maintains neat, clean work environment.
  • Maintains confidentiality of patient and agency matters.
  • Answers phones.
  • Files medical and employee records, types, maintains inventory, and orders supplies.

  • Prepares employee packets and patient admission packets.

  • Mails, and tracks, physician orders.

  • Maintains neat, clean work environment.

  • Answers phones, greets visitors.

  • Receives and processes visit notes and employee time slips as directed.

  • Distributes memorandums and paychecks.

  • Sets up and maintains employee files to meet statutory requirements.

  • Performs errands (company related as required).

  • Processes outgoing mail.

  • Maintains strict confidentiality of all agency matters.

  • Prepares clinical records for storage annually;

  • Performs other duties as assigned. Other duties as assigned
  • Develops, supervises and evaluates the Performance Improvement activities for the agency.
  • Assists with the analysis and evaluation of clinical operations to ensure standards are adhered to.
  • Assists with staff orientation and education.
  • Complies with requirements established for the OBQI projects.
  • Establishes policies and procedures in compliance with state health statutes and administrative rules to include CDC guidelines, OSHA guidelines for employee safety, universal precautions, and infection control procedures.
  • Reports to the DON regarding changes that might affect the administrative operations of the agency.
  • Maintains confidentiality of Patient and Agency matters.
  • Performs other duties as assigned by the DON.
  • Participates in continuing education for staff.
  • Assists with the Agency Annual Evaluation process.
  • Assists with Professional Advisory Committee meetings.
  • Ensures that quarterly Clinical Record and Utilization Review activities are carried out timely.
  • Ensures that Infection Control Logs are accurately maintained.
  • Retrieves OBQI reports specific to agency and interprets same.
  • Establishes and maintains appropriate method of tracking and documenting PI processes.
  • Formulates plan of correction for identified problem areas.
  • Ensures resolution of identified problems.
